How can I link my stock with Picqer?

If your catalog is filled by us through, for example, a PIM system, we do not always have stock information about your items. It is very useful to give StoreLinkr access to your live stock, as we can then also update this in all export links.

Importing stock locations​

To import the warehouses from Picqer, go to Catalog -> Stock Locations in StoreLinkr. Click on the "Import stock information" button at the top:

Next, click on the Picqer integration. Then enter your Picqer domain and provide a unique API key that you can create in Picqer.

Then test the connection and make the link final. From now on, we will also read the stock information for your products in the catalog.

Because the link has now been established with your WMS platform, we can see live how much stock is left of an article within your webshop. You can check this by navigating to a product page from your catalog and checking the "Stock" block. If the stock comes from Picqer, you will see it clearly stated:

Choosing the account type​

If you use trade brands, you choose the Account type when you connect Picqer. Without trade brands this choice isn't shown.

  • Own account: the Picqer account of one company, also when that company has its own environment at a fulfilment company. You link the whole account to one trade brand with the Trade brand selector, when you connect it or later on the integration's page.
  • Fulfilment account: the Picqer account of a fulfilment company with principals (fulfilment customers) that share the warehouses. It has no trade brand selector of its own; you link a trade brand per principal on the integration page. See principals of a fulfilment account.

Picqer integrations that were connected before this choice existed count as an own account.

Changing the account type later​

You can change the type on the page of your Picqer integration, in the Account type block. StoreLinkr doesn't allow the change while it would conflict with your trade brands:

  • An own account that belongs to a trade brand must first be set to No trade brand before it can become a fulfilment account.
  • A fulfilment account with principals that are linked to trade brands must first have those principals set to No trade brand before it can become an own account.

Principals of a fulfilment account​

A fulfilment account has principals: the clients of the fulfilment company, which Picqer calls fulfilment customers. When trade brands are on, the page of a Picqer fulfilment account has a Principals block.

  • Click Fetch principals to get the list from Picqer, or to refresh it later. StoreLinkr also fetches the list automatically when the account becomes a fulfilment account.
  • Give each principal a trade brand with its selector, or leave it on No trade brand. A trade brand can be linked to only one principal per account.
  • When you fetch the list again, your existing links stay. A principal that no longer exists in Picqer is only removed when it has no trade brand.

Once a principal is linked to a trade brand, the purchase orders of that trade brand go to this account in the name of that principal. See purchase orders and fulfilment accounts.

Warehouses of a fulfilment account​

Below the principals, the Warehouses block lists the warehouses of the fulfilment account:

  • Stock status: choose what kind of stock the warehouse holds, for example Dropshipping for a dropship warehouse. A new warehouse shows Not set yet until you choose; see stock status per location.
  • Principal: when a warehouse belongs to one principal, choose it here. On the product page the warehouse is then only listed under that principal. If another principal does have stock there according to Picqer, it is still shown, with an info icon. Leave it on Shared for a warehouse that several principals use.

Linking a warehouse to a principal only changes what you see; the stock that is counted and sent stays the same.

Stock is imported per warehouse for both account types. A fulfilment account also keeps the stock per principal, so principals that share an EAN don't overwrite each other's stock. See stock per principal. Like any stock location, a warehouse can be linked to a trade brand on the stock locations screen, for overview only.

Connecting more than one Picqer account​

You can connect more than one Picqer account to the same project. This is useful when, for example, a fulfilment party works for several clients and each client has its own Picqer account.

To add another account, follow the same steps as for the first one: go to Catalog -> Stock Locations, click Import stock information, choose Picqer and enter the domain and API key of the other Picqer account.

  • Each Picqer account keeps its own warehouses, product links and stock. The import of one account never overwrites the stock of another account.
  • The warehouses of every Picqer account show up as separate stock locations. When you have more than one account, the stock locations screen and the stock settings show which Picqer domain each location belongs to.

Purchase orders and receiving goods​

When you place a purchase order in StoreLinkr, it is sent to every connected Picqer account. Each account gets its own copy, and products that don't exist yet in that account are created there. If you use trade brands, the purchase order only goes to the Picqer accounts of its trade brand, plus the Picqer accounts without a trade brand. When the goods arrive, scan them in Picqer as usual. The new stock flows back into StoreLinkr through the normal stock import, so there is no separate step in StoreLinkr. See How to manage purchase orders.
